Private Dinner Party

For typical dinner functions, 25% of the work order estimate and no less than the rental cost are required to hold a reception time/date unless other arrangements have been made. Cancellation before 60 days of the scheduled event date will be subject to a 50% forfeit of the deposit. Cancellation within 60 days of the day of the event will be subject to the forfeiture of the entire deposit. The Pasfield House will return some portion of the client’s forfeited deposit if a comparable replacement can be substituted on the same date/time.

Group Size

The Pasfield House allows clients to hold a seated dinner for up to 50 people in the Capitol View Reception Room and utilize the remained of the main floor for entertaining purpose. We work with clients to select the best functional room layout based on our experience in adjusting to attendance estimates. Clients can allow their guests to make use of the gathering areas outside: the Front Porch Veranda, English Topiary Garden or Courtyard Fountain Patio; during the winter months however where there is no opportunity for guests to utilize the outdoors. The management does set limitations for dinner capacity; our experience is valuable to assure a consistent attention to detail and quality of serve is at the highest levels. The 50 person limit estimate on dinner attendance capacities take for granted that the host wishes that all the dinner guests are seated together in the same room.

In-House Liquor Catering

In the past alcoholic beverages were brought into the Pasfield House to be served, saving the host a considerable amount of money. The Pasfield House is now licensed to sell alcoholic beverages and offers the options of providing cash or hosted bar which is billed by the drink. All alcohol must be served by a bartender or wait staff employed by the Pasfield House and an extra fee of $100 is charged in addition to rent for the purpose of insurance related matters.

The provision of alcoholic beverages anywhere upon the buildings, grounds or premises is strictly prohibited without authorization. The Pasfield House liquor liability insurance does not prohibit the event host to purchase additional dram shop or other liability insurance in addition to the Pasfield House liability coverage, if the host wishes further coverage. A copy of any additional insurance policy purchased for an event hosted at the Pasfield House must be presented to the proprietor prior to the beginning of the event.

The Pasfield House reserves the right to limit or terminate the service of alcoholic beverages to any individual(s) or to the event patrons as a whole. Notwithstanding the foregoing, the event host assumes all liability for any losses, damages, injuries, or claims thereof arising to the guests, event host or property thereof, as well as to any bystanders or off premises persons claiming consequent injury or damages arising out of the event. The event host shall protect, defend and indemnify and hold harmless, at its costs, the Pasfield House, its agents and employees.

Work Order Form for Private Dinner Parties

The Pasfield House will complete a work order request form for a dinner event date. The form for booking a reception or meeting at the Pasfield House must be signed by the host or host representative and returned with the requested amount of deposit in order for permanently holding the date/time of the event. By signing the work order request, the host representative represents that he/she has the authority to execute this document and the agreements and covenants contained herein. In either case, the event host assumes all liability for any losses, damages, injuries, or claims there of arising to the guests, event host or property thereof, as well as to any bystanders or off premises persons claiming consequent injury or damages arising out of the event. The event host shall protect, defend and indemnify and hold harmless, at its costs, the Pasfield House, its agents and employees.

Event Charge Policy

Serving policies will dictate how many bartenders and wait staff will be required for a particular event. The Pasfield House charges one hundred dollars for each event server and also charges a setup and/or cleanup.

Replacement fee charge of a dollar per person is required for plate ware, flatware, and glassware. A charge of 50 cents and five dollars respectively is the fee charged for the laundering and replacement of napkins and table linens. Amenities available for presentations like Audio/Visual Equipment, Sound System, Microphones, Flip Charts, Podiums, High Speed Internet Access, Projector Screen, Television, and Easels are provided free of charge when food service is provided.

All charges relating to an individual booking are to be paid prior to the beginning of the event, except incidental charges which shall be paid prior to the departure of the host representative from the event. Any extension of paying for any part of the event activities may result in a late fee up to 10% of the balance due.

Food Service & Incidental Adjustments Policy

Any additions or reductions or significant changes in attendance, food items or preparation within a week of the booked event may consequently require a catering & incidental adjustment fee that would be charged beyond the food quantity adjustments (increase/s or decrease/s) accordingly.
